Sponsor and Exhibitor Benefits

Becoming involved with the Association of Canadian Ergonomists’ 2023 National Conference will provide exposure for your people, products, services and organization. ACE has over 400 members and an even larger social media following. The conference program is designed to provide multiple opportunities to network, develop and expand professional relationships, as well as share experiences and solutions for today’s current issues. Regardless of your goals, the ACE conference is a strong forum to help achieve them and the conference committee will work with you to ensure that your investment is worthwhile.

All sponsors & exhibitors receive the following benefits:

  • Your company logo, link and sponsor level will be displayed on the conference website.
  • Your involvement will be communicated to all ACE members and social media followers.
  • Your involvement will be acknowledged during opening remarks on each day of the conference.

Keynote Session Sponsor (2 available): $2,000

  • Recognition as the exclusive sponsor for one keynote session.
  • 3 minutes to introduce self/company.

Lunch Sponsor (2 available): $5,000

  • Recognition as the exclusive sponsor for one conference lunch. 
  • 3 minutes to introduce self/company.

Panel Discussion Sponsor (number to be determined): $1,000

  • Recognition as the exclusive sponsor for a conference panel discussion.
  • 3 minutes to introduce self/company.

Break Sponsor (4 available): $1,500

  • Recognition as the exclusive sponsor for a conference break

Student Sponsor (many available): $400

  • Your sponsorship will be used to reimburse a student for their conference registration.
  • Recognition as a sponsor during the draw to select the student winners.

C. Exhibitors

Exhibitor booths are available with some of the Sponsorship Packages described in Section A.

Additional booths or booths without a Sponsorship Package can be purchased for $800.

Exhibitor booths provide the following opportunities for ACE members and social media followers to learn about your products and/or services:

  • Logo and brief description on the conference web page and in the final program.
  • Invitation to provide a one-minute presentation to all delegates on Tuesday morning.
  • Opportunity to provide a prize for delegates to be awarded during a draw on Wednesday in front of all delegates.
  • All morning and afternoon delegate breaks (30 minutes) are held in the Exhibit Hall.
  • A Tuesday evening reception for all delegates will be held in the Exhibit Hall.
  • Opportunity for delegates to visit exhibitors during lunch breaks (Minimum 60 minutes in duration).
  • Up to two attendees per booth may attend the exhibitor reception on Tuesday evening and lunches and breaks with the delegates on Tuesday and Wednesday. Additional guests may be included with your Sponsorship Package or can be purchased separately.

C1. Exhibitor Booth Details

  • Booths are 10’ wide x 8’ deep.
  • Include a 6’ or 8’ table, 2 chairs and a standard tablecloth.
  • Floor length tablecloths are available for $10 per table.
  • There is no pipe and drape for the booths.

C2. Exhibitor Booth Location

Corporate Members and then Conference Partners Platinum, Gold, Silver and Bronze sponsors will have priority booth location selection (based on order of confirmation) for applications which are received prior to the deadline (see "Important dates and times for sponsors and exhibitors” in Section D).  After the deadline, remaining booth locations will be assigned based on order of confirmation. Please use the exhibitor booth # from the exhibitor floor plan below, when specifying preferred booth locations on the application form.

C3. Exhibitor Terms & Conditions

The following also appears on the Sponsor & Exhibitor Application Form.

  1. No exhibitor shall assign, sublet, or share reserved space without the authorization of the ACE Sponsorship & Exhibitor Coordinator prior to the conference.
  2. Conference registration is not included with the cost of the exhibitor booth (unless it is included with your Sponsorship Package).and must be purchased separately for those wishing to attend the sessions.
  3. Formal notice of the assigned space and full payment of the reservation fees constitutes a contract for the right to use space. In the event of a fire, strike, or other uncontrollable event rendering the exhibit area unfit or unavailable for use or causing the exhibit to be cancelled prior to the opening date of the exhibit, payment on account for the reserved space will be refunded. Any costs incurred by the exhibitor prior to the date of the reservation are the sole responsibility of the exhibitor.
  4. Although the exhibitor room will be locked at night, ACE nor the hotel will be held responsible for losses and vendors should ensure they have adequate insurance.
  5. Exhibitors will hold harmless the 2023 ACE Conference, the Association of Canadian Ergonomists and Burlington Holiday Inn and Conference Centre its parent, subsidiaries, affiliates, officers, directors, shareholders and employees ("the parties") from and against all claims, damages, liabilities, actions, costs and expenses (including attorneys’ fees) arising out of this contract or any actions or inactions caused by the parties named above in connection with this contract unless caused by the negligence, willful misconduct, fraud, or breach of this contract by the parties named above.

D. Important Dates and Times for Sponsors & Exhibitors

May 31

  • Deadline for priority access for booth locations. After this, locations are awarded on a first come, first served basis.

TBA

  • Deadline for sponsor and exhibitor registration to be included in preliminary program
  • Deadline for submission of digital media for preliminary program
  • Please ensure digital logos have a resolution of 300 dpi or greater.

July 15

  • Deadline for cancellations where a refund (minus a $100 processing fee) will be provided. No refunds will be provided after this.

August 1

  • Deadline for digital media to be included in the final program
  • Please ensure digital logos have a resolution of 300 dpi or greater.

August 29

  • Deadline for booking hotel accommodations for your company representatives at the conference rate
  • Details on how to book can be accessed from the conference website home page.
  • It’s possible that our room block may be used up by this date, so please book early to be sure you get the conference rate.

October 2

  • Booth set up: 1900 - 2330
    • Booth sizes are 10 feet wide x 8 feet deep.
    • To be fair to all exhibitors, please stay within the boundaries that will be marked on the floor for you.
  • Things to bring
    • Extension cords & Power bars
      • To help you determine the lengths required, electrical outlets are marked on the floor plan in Section C2 above.
    • Slides for your 1-minute presentation on a USB drive
      • To be fair to all exhibitors the one minute duration is strictly enforced
    • Draw prizes for draw on Wednesday morning (optional)
      • Ok to bring these after Monday.
